Greater Grand Forks Soccer Board Positions and Responsibilities


Executive Board/Officers:

  • President

  • Vice President

  • Treasurer

  • Secretary

  • Registrar

  • Communications Director 


The executive board is elected by GGFSC club members and shall manage the business and property of the GGFSC. Officers will select committee chairs (with the exception of the Director of Coaching) by a nomination and majority vote at the annual membership meeting.  


The officers and board coordinators comprise the Board of Directors.


Board Coordinators: Additional members of the Board of Directors may be appointed to the following, voting positions:

  • Equipment/Fields/Facilities Coordinator 

  • Tournament Coordinator 

  • Fundraising Coordinator 


Paid employees:

  • Director of Coaching, Competitive Programs (DOC)

  • Director of Academy and Development 

  • Club Administrator

  • Rec Coordinator 

  • Referee Coordinator 

 

All board members are expected to attend monthly board meetings, including the annual meeting in late fall/early winter, and the Spring Kickoff meeting.

Executive Board Duties

President:

Direct supervision and oversees Director of Competitive, Director of Academy, and Director of Recreational, Communications, and Fundraising Coordinator. Leading board meetings, acting as the public face, overseeing club operations, recruiting volunteers/coaches, managing finances (budgeting with treasurer), ensuring mission alignment, and maintaining external league relationships, essentially serving as the chief executive to guide strategic vision and day-to-day governance.


Vice-president:

Directly oversees Club Administration, manages specific areas like field and equipment coordination and board position, volunteer recruitment, communications, or event planning such as the GGFSC Home Tournament, ensuring smooth operations, Player Development, Liaising with the Director of Coaching, coaches/parents, ensuring background checks/training, and player safety. Fulfills all duties of the President in their absence or incapacity.  Runs meetings if the President isn't present, acts as a backup leader. Player Development, Liaising with the Director of Coaching, coaches/parents, ensuring background checks/training.


Secretary:

Manages and records minutes, handles correspondence, and ensures smooth communication, acting as the central hub for official club records and meetings, including scheduling, assists the Club Administrator with agenda prep, minute-taking, and distributing official documents, all while supporting the board and maintaining club compliance. Assists the President with Strategic Planning. Attends Grand Forks Park District Board Meetings on behalf of the club.


Registrar:

Manages and works closely with Club Administrator player/coach databases, processes registrations and payments, creates rosters, ensures compliance with association rules, coordinates team formation, and acts as a key communication liaison for members, working closely with Club Administrator and other board members and using online systems like Sports Connect, GotSoccer or Sports Manager to maintain accurate records for the league.

Treasurer:

Assists and supports the Club Administrator and third party Financial Advisor (currently Brady Martz), maintaining accurate financial records, ensuring compliance, preparing regular financial reports for the board, and acting as a signing authority for club funds. Compliance: Ensure adherence to financial regulations and tax laws. Strategic Collaboration: Work with other directors (fundraising, concessions) and the board on financial strategy and sponsorships. Assist with capital inventory of equipment and purchasing of capital equipment. File IRSand state required forms. 

Communications Director: 

Manage public image, website/social media, newsletters, and announcements, acting as a liaison between the board, coaches, players, and parents, ensuring timely, consistent messaging about schedules, events, and club news through various digital and print channels, often coordinating with other directors for content and fundraising promotions. Assists secretary and/or Club Administrator with meeting minutes and posting of approved minutes on the website.

 

Board Coordinators

 

Equipment/Field/Facilities Coordinator: 

Maintains proper inventory of soccer equipment for practices and games, including tracking supplies, setting up equipment on fields, and coordinating equipment check-out and check-in with coaches and team managers. Ensures accuracy and quality of all equipment upon delivery and at season’s end, and makes recommendations for new purchases when inventory is low or equipment is damaged. Maintains fields and facilities used by GGFSC for practices and games, performs regular field checks, and communicates field conditions or maintenance needs to the appropriate personnel. Assists in scheduling practice and game times, and supports the Equipment Volunteer with equipment setup and takedown. Communicates regularly with GGFSC Board Members, the Director of Coaching, and the Administrator.


Fundraising Coordinator:

Helps develop and implement a sponsorship program by identifying potential sponsors, establishing contact, and serving as the liaison between GGFSC and fundraising partners. Prepares and distributes letters seeking financial support, creates and maintains fundraising opportunities for teams, and coordinates all fundraising activities, including working with the Volunteer Coordinator to staff campaigns and events. Issues monthly fundraising reports to the Board and communicates regularly with GGFSC Board Members, the Director of Coaching, and the Administrator.

 

GGFSC Tournament Director

The Tournament Director is responsible for overseeing all aspects of the GGFSC tournament, from pre-event planning and logistics to on-site operations and post-event wrap-up, ensuring the competition runs smoothly and in accordance with established rules and regulations. Serving as the primary organizer and decision-maker, the director works closely with the GGFSC Board, Tournament Committees, the Administrator, and other stakeholders to create a successful event. During the tournament weekend, with games running from Friday afternoon through Sunday afternoon, the director is expected to be on-site across multiple field locations, assisting wherever needed throughout all three days.
